1 Bank to Rule Them All

Summary:
Our client, a large legal support company, landed one of the biggest bank mergers in history and was tasked with processing over 2 terabytes of email over the course of the project for on-line native review. They had the capability to handle the on-line review piece but the volume of data was not something they were equipped to handle in-house. Having worked with us for the past 2 years, they knew that we are quite capable of handling terabyte level cases, especially native reviews, so we were awarded the project.

The data came in waves from a few gigabytes to almost 100gb at times with expected turnaround times of 48hours. We were able to process each batch of data on a rolling basis in under 24hours every time giving our client more time to put the data on-line for review.

After the client selected which files were responsive to the matter we then converted the sets to images and produced custom cross-referencing load files for production. The project is on-going and so far we have processed over 6million documents and some 1million images. Over 70% of the documents were de-duplicated prior to review saving the client months in review time.

eDiscovery Confidence

Summary:
Our client was in the process of doing an internal investigation that consisted of 26GB of data, including some .pst files that were upwards of 7 GB each.

Since this was an internal investigation, cost was a key issue for the client. They first sent their data to one of the top five known eDiscovery vendors (because of name recognition). After having the data for one month and not responding to phone calls, the vendor eventually delivered a sample to the client consisting of 50 converted pages – results that were well below standard and completely unacceptable.

Our client pulled the project from the national vendor and turned to Logik Systems to deliver reliable results. We loaded the data to our servers on Tuesday and began processing. No issues were encountered, no delays experienced. We horizontally de-duplicated the data and delivered the first set of data (consisting of approximately 145,000 pages) the next morning.

By Thursday we delivered the remaining 1 million pages of data to our now very satisfied client. Logik Systems was able to process the entire project in only two days, compared to the nationally known vendor who couldn’t even deliver 50 quality pages in one month.

We Needed That Yesterday

Summary:
Tasked with a rapid-fire document request, our client needed to have 29gb of email and e-files processed overnight. A long-time client, they knew we would be up to the task. We got the call early afternoon and shortly after that we had the hard drive loading to our network.

We configured GridLogik and assigned 20% of our capacity to complete the project in under 24hours. By morning GridLogik had indexed, de-duped, searched/tagged, formatted, and converted all 16gb of the data without any hick-ups. All that was left was to build the image database, number, QC, and export to a hard drive.

Much to the delight of our customer, we delivered the processed data back the following morning, 16hours after we received it and ahead of expectations.

Construction Cleanup

Summary:
Picking up where a publicly traded consulting company of eDiscovery experts(cannot be named for many reasons) left off, we were tasked with repairing, processing and converting a previously culled set of data for our client to review and produce to the SEC. The aforementioned consulting company had flown all over the world doing electronic data collections for the law firms client, a giant construction company. Mostly email collections, the consulting company processed the Lotus Notes email databases to MS Outlook email databases and performed some basic culling techniques using DTsearch and a generic de-duplication application.

This process is a big no-no in the world of eDiscovery mainly because migrating one email format to another will almost surely alter the data causing all sorts of problems from inaccurate de-duplication to missing documents. Sure enough, when the data was migrated documents were missed and meta-data was altered, which completely threw GridLogik off when trying to determine where the duplicates were.

Luckily, we identified this problem early on and made the correct adjustments to ensure accurate processing and delivery. We ripped through the first data set, converting some 3million images(~30gb) in under 48hours. After the image review was over we performed various native file productions to the SEC.

Search, Search, and Then Search Some More

Summary:
With MS Outlook PSTs reaching over 15gb each we knew this project would test our processing limits, but GridLogik pulled through and quickly processed the entire project in under 3days, BUT it was the endless searching that made this a good case study.

Initially the project was easy enough; process all data “natively” to concordance for native review by a local law firm within 3 weeks and no searching. Then the deadline went from 3 weeks to 1 week and the shear volume of data needed to be reduced so that the review could be completed. Keyword searching was the only method in the given time frame that would facilitate this new deadline.

Keyword searching alone is pretty easy, but when there are over 100 different search categories and over 50 subcategories searching can become extremely complicated. This was the task at hand. After GridLogik was done with the processing we searched the over 2million documents with the aforementioned search categories.

We then reported on the search results to our client listing broken-down details such as total file types, pages, size, words, keywords hit, etc. all by category, subcategory and custodian. We did that about 20times or so until the client was satisfied with the results. That along with processing some 250gb of massive PSTs files was completed in ~5.5days. Our client was blown away at our speed and flexibility and was able to complete their review on time.

Connecting the Dots

Summary:
Sometimes the smallest projects can take the most time to complete. Even though it was only 2gb in size this project posed a unique challenge that needed a custom solution. Our client, a top 10 law firm, received a 2gb text file from opposing counsel. Using standard document warfare tactics, the opposing counsel claimed the text file contained everything the law firm needed to perform their review, including the actual attachments. Our client was baffled, “How can emails along with their attachments be contained in a single text file?” Not knowing exactly what to do they asked for our advice.

We analyzed the file and came to find out that in fact the text file DID contain all of the email and attachments requested, but it was all in binary format. This format looks like gibberish to the human eye, but when properly formatted and processed it can reveal the true representation of the document.

GridLogik was customized on-the-fly to analyze and determine document boundaries along with meta-data and attachment locations. After that it needed to parse all the text all out, making it searchable and re-compile the attachments into their true form. The end result was a unitized and searchable database with individual emails, attachments, and their corresponding meta-data.

When asked by opposing counsel if our client had any issues with the text file our client was happy to report that the data had been fully processed and is now being reviewed, much to the chagrin of the opposing counsel we’re sure.

Tag! Your IT!

Summary:
A world-leading financial services company was under investigation from the DOJ and was tasked with restoring, searching, and reviewing a select batch of backup tapes containing the companies archived email. The company hired an outside consulting company to handle the restoration and processing of the data. The consulting company outsourced the tape restoration and then began using a third party eDiscovery tool to start processing the data.

After 3 weeks attempting to process only 5gb of email with the tool and the client breathing down their necks to produce something to them for review, the consulting company needed better options. Conveniently, we recently met with this company and they decided to try us out.

Not only did we fully process and return the 5gb of data the day after they gave it to us, but began consulting the consulting company on how to achieve better results for their client. We implemented an ongoing horizontal de-duplication process that reduced the data-set by more than 50% over the course of the project. We also provided a detailed de-duplication audit-log for the DOJ to analyze should the process be called into question.

In the end the our new client saw the value we added to their client’s cases and we have been doing business with them ever since.

300GB in One Week – Easy as L-K-S-I

Summary:
Our client called us about a large project originally consisting of 200GB of data from 20 different custodians – with a 2 week deadline. They needed us to horizontally de-duplicate, apply a date range filter, keyword search, generate a custom report on the keyword hits by category and by custodian, and then natively produce the hit documents after approval of the search results.

Ok, no problem.

After our client was finished natively reviewing the documents hit by the keywords, they would give us a listing of the documents to convert to .tiff for production. We took the 200GB of data and loaded it to our servers and began processing.

The next day our client sent us an additional 100GB and told us the deadline had changed to ONE week — and the requirements had not changed. They need it all, and they need it FAST.

We used GridLogik to process the initial 200GB of data, and in only three days we indexed, searched, built custom reports and delivered a completely searchable and linked native file database. Then we delivered the remaining 100GB to the client in only two days, cleanly and efficiently beating the deadline by two days.

Making Sense of Unstructured Data

Summary:
A new client contacted us about a project that consisted of approximately 8GB of data extracted from Orchestria (a front-end document management program). The client’s other vendors had no idea of what to make of this data, as it looks very unstructured at first glance.

We picked up the data and within a few hours had determined how the data was structured and linked. We quickly parsed the data and then let GridLogik go to work. We horizontally de-duplicated the data and extracted all text and metadata.

Within 24 hours we had delivered the results back to our client. His team loved the turnaround time, the delivered product, and how easy we made it seem.
